Terms & Conditions for Dúlra Bookings
1. Terms for Parent, Guardian & Family Bookings
Definitions:
- Child: Any participant under the age of 18.
- We/Us: Dúlra.
- You: Parent/Guardian.
Payments:
- Full payment confirms a booking and is required at the time of booking unless otherwise agreed in writing.
- Payment applies to the named participant only and is non-transferable.
- Unpaid balances within one week of the sessions starting may result in losing the booking to another applicant.
- If experiencing financial difficulties, contact us confidentially at eolas@dulracilldara.ie to discuss payment options.
- These T&Cs apply to any bookings regardless of the payment method used (cash, Revolut, bank transfer, or online card payment).
Visitors on Site:
- Visitors can enhance sessions by sharing skills and joining celebrations.
- During family sessions, parents/guardians are responsible for their children.
- Visits outside these times require prior arrangement with Dúlra due to safeguarding policies.
Cancellations by Dúlra:
- Sessions may be cancelled due to:
- Dangerous weather (e.g., ORANGE wind warnings).
- Low participant numbers.
- Staffing issues.
- Unforeseen site changes.
- Notification methods:
- More than 24 hours in advance: via email.
- Less than 24 hours: via phone or text, based on your preferences.
- Bookings may be cancelled for unsafe behaviour or undisclosed risks (e.g., extreme emotional/behavioural difficulties or flight risks). Provide all relevant information in writing with each application.
Refund Policy:
- Refund requests:
- Up to 2 weeks before session start: Full refund minus 10% administration fee.
- Up to 1 week before session start: 50% refund.
- Within 7 days: No refund, except for serious medical/compassionate reasons.
- No refund is given for:
- Missed sessions (planned or unplanned).
- Participant discontinuation.
- Exclusion for behaviour issues.
- Weather cancellations due to ORANGE wind warnings (rescheduling may be offered).
Transfers:
- Transfers to other similar courses of similar price are possible before the course starts, subject to an administration fee and availability.
- Transfers cannot occur after the course begins or if not feasible.
Activities:
- Participants must wear weather-appropriate clothing as outlined in pre-session emails.
- Dúlra is not liable for incidents outside supervised sessions or involving unauthorised equipment use.
Complaints:
- Feedback is encouraged. Arrange suitable times for complaints outside drop-off/pick-up periods, as staff will be supervising.
- Complaints about other participants should be directed to Dúlra.
2. Terms for Subscription Model
Subscription Duration & Cost
- The subscription runs for 11 consecutive months from your join date.
- For most families starting in August 2025, this will be August 2025 to June 2026. If you start later, your subscription will still run for 11 consecutive payments from your join date.
- Payments of €56 per month will be charged on the same date each month, starting from the date of registration, regardless of the first session date.
- The total annual cost is spread evenly across 11 months, regardless of the number of sessions in any given month.
Commitment & Cancellations
- Subscriptions are term-based commitments.
- You may cancel your subscription, but the cancellation must be made at least 4 weeks before the start of the next term to take effect for that term.
- Cancellations made less than 4 weeks before a term begins will only take effect after the upcoming term has ended.
- Once a term has begun, your spot is reserved and staffed — no refunds, pauses, or partial credits are available.
- This policy ensures we can offer your child’s space to another family in good time and plan safely and sustainably.
- Best efforts have been made to align dates with existing school calendars; however, where school holidays vary from school to school (for example, February or June half-term), the Dúlra programme calendar will still go ahead. Non-attendance in these instances is treated as non-attendance and is not refundable.
Non-Attendance
- Non-attendance for illness, travel, or other personal reasons does not entitle the subscriber to a refund or replacement sessions.
- This is as per our standard Terms & Conditions for all other courses.
Mid-Year Joiners
- The subscription model is only available for purchase up to the first day of your course each year.
- If you join after this point, standard per-term course rates apply.
Payment Management
- All payments are securely managed via our payment partner, Stripe.
Course Registration
- The subscription is conditional on registering your child for the chosen course via our usual platform at www.dulracilldara.ie.
Cooling-Off Period
- A 48-hour cooling-off period applies from the time of registration, during which you may cancel and receive a full refund.
Non-Transferable
- The subscription is valid only for the named child registered.
- It cannot be transferred to another child, family, or Dúlra site.
Changes to Registration Details
- As the subscription covers an 11-month period, you must inform Dúlra in writing by emailing eolas@dulracilldara.ie of any changes to the details provided at registration (e.g., contact information, medical updates).
Cancellations by Dúlra
- In the rare event of course cancellations initiated by Dúlra, our standard Terms & Conditions (available on our website) will apply.
Offer Exclusions
- The subscription cannot be used in conjunction with any other offers or discounts.
Communication & Updates
- You agree to receive email updates related to your subscription, including payment reminders and programme updates.
3. Terms for Organisation & Group Bookings
Participant Information:
- At least 72 hours before the session, provide details of:
- Additional needs (e.g., mobility or language requirements).
- Behavioural risks (e.g., EBD or flight risk).
- Photo permissions.
- For children under 18, parents/guardians/teachers must:
- Stay in loco parentis during the session or
- Provide completed consent forms.
Site Requirements:
- Sites must be clean, accessible, and safe, with clear pathways.
- Dúlra is not liable for site-related incidents unrelated to its activities.
- Provide photos or videos of the site during booking for tailored sessions.
Activities:
- Covered under Dúlra’s insurance if within supervised session times and under staff direction.
- Activities may be adjusted for weather, group dynamics, or site conditions without notice.
- Participants must adhere to clothing guidelines.
Staffing:
- Organisation staff are responsible for:
- Participant medication.
- Supporting a calm and safe environment.
- Staff ratios must meet booking form requirements. Additional Dúlra staff may incur extra costs.
- Organisation staff are expected to actively participate unless otherwise agreed.
Pricing:
- Prices apply to the named organisation and specific group/dates.
- Additional services (e.g., pre-site visits, risk assessments, advertisements) are available at extra cost.
Payments & Cancellations:
- 25% non-refundable deposit secures bookings.
- Cancellation fees:
- 50% of total cost for cancellations within 1 week.
- 100% for cancellations within 48 hours.
- Cancellations by Dúlra result in deposit refunds or rescheduling.
Feedback & Promotion:
- Feedback is welcome through evaluation forms.
- Share workshop images online with appropriate credit (@dulra_cill_dara).
