Terms & Conditions for Parent, Guardian & Family Bookings

NB:
“Child” is any participant under the age of 18.
We, i.e Dúlra
You, i.e parent/guardian

PAYMENTS

  • Places are confirmed on receipt of full amount.
  • Places are for the named child on the dates booked; substitutions are not permitted.
  • Full amount is due at the time of booking, unless by prior written arrangement with Dúlra.
  • Failure to settle the full amount within one week of the sessions commencing, unless by prior written agreement, will result in the place being given to the next application on the waiting list.

N.B.: These terms and conditions apply to any payments made to Dúlra for sessions, regardless of payment method (cash, Revolut, bank transfer, online card payments, etc.).

VISITORS ON SITE

Invited visitors to Forest School can enhance the Forest School community through their own skills and experiences and by joining in celebrations. During family sessions where parents & guardians are attending, children are the responsibility of their attending parent/guardian.
Due to safeguarding, parents/guardians should not attend on site except by prior arrangement with Dúlra.

Parking on Dúlra sites is at your own risk.

CANCELLATIONS

Season sessions, one-off sessions and workshops may be cancelled by Dúlra due to:

  • low number of applicants;
  • staffing issues;
  • dangerous weather conditions as judged by Dúlra (e.g. ORANGE weather warning for high winds at the Forest School site);
  • unanticipated changes to the Forest School site.

Where cancellations are made by Dúlra more than 24hrs ahead of the start of the sessions, applicants will be informed by email.

Where cancellations are made by Dúlra less than 24hrs ahead of the start of the sessions, applicants will be informed by phone or text, depending on their contact preferences.

Dúlra can cancel an individual’s booking if the child displays behaviour that poses a risk either to themselves or to other participants or staff. Dúlra will always work with participants and parents first on other methods to support the child, and exclusion is a last resort.

Dúlra can exclude without refund if a parent/guardian has failed to inform Dúlra on their child’s application about behaviour that poses a risk to the child, other participants or staff (for example, extreme emotional & behavioural difficulties or a history of flight risk).

ACTIVITIES

Participants must be dressed appropriately for Forest School activities and the weather, as outlined in the information emails shared ahead of the sessions. For reasons of health and safety, Dúlra can refuse to accept a child onto a session if they are not appropriately dressed.

All activities undertaken during a session are covered by Dúlra’s insurance, provided they take place within the allocated session time and under the supervision of Dúlra staff. Dúlra are not responsible for incidents with equipment that has been removed without Dúlra’s knowledge from the session.

TRANSFERS

You may request a transfer to another course of similar price if your initial booking is no longer suitable, prior to the commencement of the course. An administration charge applies. Transfers are subject to availability, and are at Dúlra’s discretion.

If a price difference exists between the courses, you will be asked to pay this. Refunds are not possible in the case of the second course costing less.

Transfers may not be made once a course has commenced. Transfers are not always possible. Where a transfer is not possible, the refunds policy will apply by default.

REFUNDS

We understand that life can be busy and schedules change, and our refunds policy reflects that.

Refund requests made up to 2 weeks before the commencement of sessions: full refund, minus a 10% administration charge.
Refund requests made up to 1 week before the commencement of sessions: 50% refund.
Refund request made within 7 days of the commencement of sessions: no refund.

N.B.: Exceptions may be made in exceptional circumstances, for example compassionate or serious medical reasons, on a case-by-case basis and at the discretion of Dúlra.

Dúlra will offer the choice of a full refund, or a rescheduled session where available, for a session/sessions if they are cancelled due to:

  • low applicant numbers for that particular course;
  • staffing issues.

Dúlra cannot offer a refund for a missed session/sessions:

  • in the case of a child’s absence (planned or unplanned);
  • in the case of a child choosing to discontinue the sessions;
  • in the case of exclusion of a child due to extreme behaviour issues;
  • in the case of cancellation due to extreme weather conditions/weather warnings (ORANGE weather warning for high winds at the Forest School site); in this case a rescheduled session may be offered.

COMPLAINTS

Dúlra is a member of the Irish Forest School Association, and leaders adhere to the IFSA Members’ Code of Conduct.
Dúlra welcomes all forms of feedback. Drop off or pick-up may not always be the best time for addressing complaints as staff are still supervising; if this is the case we will arrange for a call or email later.
If a parent/guardian has a complaint regarding another participant, we ask that you direct it to us first.

Terms & Conditions for Organisation & Group Bookings

N.B. For recurring sessions, a Memorandum of Understanding will be provided which supersedes these terms & conditions.

PARTICIPANTS:

The organisation is responsible for providing to Dúlra at least 72 hrs in advance the following information about the group:

  • Additional needs, for example language or mobility, that would require special provision;
  • Additional needs, for example EBD or flight risk, that may present a risk to the participants or staff;
  • List of photo permissions.

N.B. Where a child under 18 is part of the group, either the parent/guardian/teacher will remain with the child, or provide a booking form with usual consents etc. medical for each child.

SITE:

The location of the workshops should be agreed at the time of booking.

The site provided should be clean and clear from rubbish. Pathways/access routes should be kept clear and safe. For one-off visits, Dúlra does not conduct pre-site visits or site specific risk assessments. Therefore the organisation remains responsible for any accidents/incidents resulting from issues outside of Dúlra’s activities on-site.

The organisation can help ensure their participants get the most out of a session by providing Dúlra with photos or a short video of the proposed site at the time of booking.

Parking on Dúlra sites is at your own risk.

ACTIVITIES:

Dúlra’s activities are dependent on the weather, the natural environment provided by the organisation and the individual group dynamic & behaviour. Dúlra can adjust the activities without notice for any of the above reasons.

The organisation is responsible for ensuring participants are adequately prepared and dressed for the weather according to Dúlra’s guidelines. For health and safety reasons, Dulra can refuse admission to a participant if they are not prepared.

STAFFING:

During the session, attending staff from the organisation are responsible for:

  • Keeping any medications for participants on them;
  • Helping Dúlra maintain a calm, purposeful, safe environment.

The organisation is responsible for ensuring the staff/participant ratio quoted in the booking form is adhered to during the workshops.

Attending staff members are expected to take an active role in the workshops. If this is not possible, this should be indicated at the time of booking, and Dúlra will employ additional staff at an extra cost to the organisation.

Any adults acting under Dúlra’s direction during sessions are covered by Dúlra’s insurance.

Dúlra welcomes feedback, and an evaluation form will be provided at the end of the session for attending staff to complete.

Dúlra welcomes sharing of images of workshops online and on social media; please mention Dúlra by name and tag us; “dulra_cill_dara” on instagram and “Dúlra, Cill Dara” on Facebook.

PRICING:

Prices quoted are for the workshop as described on the booking form, and are valid only for the named organisation and dates/groups described. Any extra services outside of the booked times are not included, for example:

  • Pre-site visits
  • Preplanning meetings
  • Managing bookings online
  • Preparing the site
  • Publicising the event

Available at extra charge:

  • Site-specific risk assessments
  • Pre-planning meetings

  • Risk assessments on the organisation’s own proforma
  • Planning on the organisation’s own proforma
  • Named letter of indemnity

PAYMENT:

Bookings should be paid at 25% deposit (non-refundable) to secure booking. This deposit is non-refundable in all cases, including the closure of the site/organisation for any reason, e.g. extreme weather.

Balance will be invoiced on the day that the workshop has been completed, and must be paid within 14 days.

CANCELLATIONS:

Where a workshop is cancelled within 1 week of planned visit, 50% of the workshop cost is due and will be invoiced on the day of the cancellation, payable within 14 days.

Where a workshop is cancelled less than 48hrs notice, the full balance is due and will be invoiced on the day of the cancellation, payable within 14 days.

Where a workshop is cancelled by Dúlra at any time, the deposit will be refunded or a second date arranged.

While Dúlra will make every effort to accommodate late changes in timings, workshops will be for the time quoted on the booking form.

Cancellations due to weather will be at Dúlra’s judgement.
